Share your first Power BI report

After following the setup steps, you are ready to share your first Power BI report! After pressing the finalize’ button in the setup flow, you’ll be greeted with this message:

Click the ‘Share your first report’ button or navigate to the ‘Report sharing’ menu item.

Report sharing

The ‘Report sharing’ page is where you can control pretty much everything regarding to shared reports, or add additional reports to share. When you open this page for the first time, DataTako asks you to add a group.

Groups are used to neatly organize your reports. You can also share entire groups with users or user groups. Examples of groups can be your clients, divisions, organization units or anything you’d like.

In this example we will add ‘Management reports’ as a group.

Great! Now that we have our first group, we can share a Power BI report by clicking on the ‘Share Power BI report’ button.

Report configuration

You’ll see that you have many options available in the report configuration. For this setup we will focus on the basics, but you can read more about all available options under the features tab in the helpcenter.

PowerBI group / workspace – select the Power BI workspace that you want to share a report from

Power BI report – after selecting a workspace, you can select a report/dashboard/paginated report from the workspace.

Name shown to users – this is the name your report viewers will see as report title

Description shows to users – this is a subtitle for a little bit of extra information

Report group – by default, you’ll see the report group selected here that we just created. Do note that it is possible to add reports in multiple report groups.

Once you select/enter the values above you can scroll all the way down to the ‘shared with’ section.

DataTako allows you to share reports with anyone with individual users and with user groups. More information on usergroups can be found here.

Click on ‘users’ and then the ‘add users’ button:

If you click the ‘enter email address’ field you can select either existing users that are already known in your organisation, or you can enter an email address to invite to view this report.

If you invited a new user, they will receive an email that a report has been shared with them and an invite to finish registration in your organization. After they login they are redirected to the report straight away
