Organisations (multi-tenant)

Organisations in DataTako allow you to create separate islands for customers, clients, vendors, teams, etc. This is also often called multi-tenancy.
Typical examples include:
- A parent company with multiple subsidiaries
- A service provider managing reports for multiple clients
- A healthcare or education organisation with multiple locations
Core concepts
A sub-organisation is a logical unit that exists under a main organisation. The ‘main’ environment can share all kinds of settings with its sub-organisations, such as:
- Subscription
- UI settings (whitelabeling)
- Domain
- Email settings
- Security settings
- Workspace(s)
You decide what you do and don’t want to share with suborganisations.
How to activate?
If you don’t have the Organisations menu item yet, activate the feature here: https://app.datatako.com/settings/?tab=features
Refresh the page after enabling the feature and navigate to the Organisations menu item.
Add your first organisation

Click the Add organisation button.
In the next screen, enter a name for your organisation (for example the name of your client).
Settings

Lets go through all settings below:
Use organisation subscription
When this option is enabled, the organisation is added to your existing Stripe subscription. Leave this option unchecked if you want to configure separate billing for this environment.
Good to know! You never pay twice for a user, even if you or others have access to multiple suborganisations.
Can deviate from organisation UI settings
By default a sub-organisation uses the same styling as the parent environment. That means; your configured logo’s, colors, title, subtitle, login page configuration, etc. If you want to configure different styling for this sub-organisation, leave this option unchecked! Otherwise the configuration tabs are disabled, like this:

Can deviate from organisation custom domain
By default, the suborganisation uses the same (sub)domain as configured in the parent. Want to configure something else for your suborganisation, check this option.
Can deviate from organisation email settings
Similar to the option above, check this option if you want to deviate from the default email configuration in the suborganisation.
Can deviate from organisation security settings
By default the suborganisation uses the same security settings as your environment, check this option if you want to deviate on the suborganisation.
Workspace access
Share Power BI connection with organisation
You can share your Power BI connection with suborganisations. This way you can use one source Power BI tenant and distribute reports through unlimited DataTako portals.
Allowed workspaces
If you enable the ‘Share Power BI connection with organisation‘ option, a Allowed workspaces dropdown appears. Here you can select workspace(s) that the organisation has access to.
For example, if we configure this:

And switch to the suborganisation and create a report configuration:

As you can see, we only have access to the configured workspace.
By default, you (the user creating the organisation) are added as organisation admin to the suborganisation.
How to switch to suborganisations?
Click on your profile icon at the top right, and then on ‘switch company’.

In the dialog that dissapears, you can select the organisation you just created

To switch back, use the exact same logic.
